Before you start

Data, sources, and access to prepare

  • A listed property
  • An approved access policy
  • A safe external test email address

Prepare these details

  • Classify what is public and what is protected
  • Confirm approved NDA and qualification questions
  • Choose who reviews approval requests
  • Prepare a fictional test identity that your team controls

Complete the task

  1. 1

    Open the property access control

    Listing Hub > Listings

Open the access selector for the intended property.

Expected result: The available access options appear for that listing.

If this does not happen: Confirm listing-management permission if the control is disabled.

  2. 2

    Select one access option

    Listing access selector

Choose Open, Email, NDA, or Approval.

Expected result: The row shows the selected access policy.

If this does not happen: Use NDA & Access settings before selecting an NDA option when the agreement is not ready.

  3. 3

    Set inquiry visibility

Listing Hub > Access & leads

Set the public inquiry-form toggle to the approved state.

Expected result: Public property pages follow the company inquiry setting.

If this does not happen: Ask an Admin when the company-level control is unavailable.

  4. 4

    Review NDA questions

    Settings > NDA & Access

Review the company qualification questions when NDA access is used.

Expected result: The questions match the intended qualification process.

If this does not happen: Remove unnecessary questions before testing the visitor flow.

  5. 5

    Open the public listing

    Listing row > public preview

Open the property page while signed out.

Expected result: The selected gate appears before protected material.

If this does not happen: Clear the test browser session or use a private window if prior access bypasses the gate.

  6. 6

    Complete the test gate

    Public property page

Submit the one test access flow with the controlled identity.

Expected result: The viewer receives the expected access or pending-approval state.

If this does not happen: Read the exact failure before changing production settings.

  7. 7

    Find the CRM activity

    CRM > Leads or Contacts

Search for the test email address.

Expected result: The unified contact shows the identified inquiry or access context.

If this does not happen: Allow processing to finish and confirm the test used an identity-collecting gate.

Troubleshooting and next steps

The visitor bypasses the gate during testing.

Likely cause: The browser may retain prior access or an owner session.

  1. Use a private signed-out window.
  2. Test with a new controlled email address.
No CRM contact appears.

Likely cause: Open access does not identify a visitor, or event processing may not be complete.

  1. Confirm the test used Email, NDA, Approval, or the inquiry form.
  2. Search Contacts by the exact test email after processing.

Final verification

  • Listing row > public preview: The selected gate appears before protected material.
  • Public property page: The viewer receives the expected access or pending-approval state.
  • CRM > Leads or Contacts: The unified contact shows the identified inquiry or access context.
  • No blocking warning, failed status, or unresolved validation message remains in the completed workflow.
