Outcome
You will create a concise company-wide qualification form for NDA-gated listings, save it safely, and distinguish those questions from each property’s access level and agreement text.

Before you start
Data, sources, and access to prepare
- An administrator or Single Agent role
- An approved list of qualification questions
- A test property that can use NDA-gated access
Prepare these details
- Keep questions limited to information needed for qualification
- Decide which answers must be required
- Prepare concise multiple-choice options
- Confirm the company confidentiality agreement separately
- Use a fictional external tester rather than a current signed-in team member
Complete the task
- 1
Open NDA & Access
Settings
Select NDA & Access.
Expected result: The company question list and scope explanation appear.
If this does not happen: Ask an administrator if the route returns to Profile.
- 2
Review the existing form
NDA & Access > NDA qualification questions
Read every current question before editing.
Expected result: You understand what new NDA signers currently receive.
If this does not happen: Select Retry before editing when the page says the latest questions could not be loaded.
- 3
Add a standard question
NDA qualification questions > Add a standard question
Select one relevant preset.
Expected result: The preset appears once in the editable list.
If this does not happen: Use Custom question when no preset expresses the approved question.
- 4
Edit the question label
NDA qualification questions > intended row
Enter one clear prospect-facing question.
Expected result: The row states exactly what the signer should answer.
If this does not happen: Shorten jargon or combined questions before continuing.
- 5
Choose the answer type
Question row > Answer type
Select Text answer, Yes / No, or Multiple choice.
Expected result: The row displays the chosen response control.
If this does not happen: Use Text only when structured Yes / No or Multiple choice would lose needed detail.
- 6
Enter choice options
Multiple-choice question row > Choices
Enter the approved comma-separated options.
Expected result: Each intended option is represented in the stored list.
If this does not happen: Remove empty or duplicated choices before saving.
- 7
Set the required state
Question row > Required
Turn Required on only when the answer is necessary.
Expected result: The toggle reflects the intended completion rule.
If this does not happen: Leave optional context non-required to reduce abandonment.
- 8
Remove an unnecessary question
Question row > Remove field
Select Remove for one unneeded row.
Expected result: The row leaves the draft question list.
If this does not happen: Reload without saving if the removal was accidental and no other draft edits must be kept.
- 9
Save the question list
NDA qualification questions
Select Save NDA questions once.
Expected result: A confirmation states that new signers will see the saved questions.
If this does not happen: Wait for the save to finish before making another request.
- 10
Review the company agreement
NDA & Access > Company confidentiality agreement
Select Manage agreement.
Expected result: Team settings opens at the company agreement.
If this does not happen: Ask the company administrator when the agreement is locked.
- 11
Set one property access level
Listing Hub > Access
Choose the intended gate for the test property.
Expected result: The property uses Open, inquiry, email-only, or NDA access as selected.
If this does not happen: Return to the property access control if qualification questions do not appear because the listing is not NDA-gated.
- 12
Test as a new signer
Signed-out property access flow
Begin the NDA flow with a fictional external identity.
Expected result: The saved questions appear before the NDA and required controls behave correctly.
If this does not happen: Use a private browser session if an existing authorization bypasses the gate.
Question and scope reference
Question fields
| Field | Requirement | What it means | Format | Units | Save behavior | Downstream effect |
|---|---|---|---|---|---|---|
| Question label | Required | The prompt shown to a prospective signer | Plain text | Characters | Stored for future NDA flows when Save NDA questions succeeds. | Displays the prompt to new signers and should remain concise and unambiguous. |
| Text answer | Optional | Free-form response | Question type: Text | Not applicable | The question type saves with Save NDA questions; a signer response saves during the NDA flow. | Allows nuanced qualification responses but requires more manual comparison. |
| Yes / No | Optional | Binary response | Question type: Yes / No | Not applicable | The question type saves with Save NDA questions; a signer response saves during the NDA flow. | Makes a direct binary qualification condition easy to review. |
| Multiple choice | Optional | One response from configured options | Question type with comma-separated choice labels | Choices | The question and its option list save when Save NDA questions succeeds. | Limits each signer to one configured response for consistent comparison. |
| Required | Optional | Whether the prospect must answer before continuing | On or off toggle | Not applicable | The requirement state saves when Save NDA questions succeeds. | Blocks a new signer from continuing without an answer when enabled. |
Required means the field is needed to complete or support this workflow. Some screens allow a draft to save before every required item is complete. The steps and troubleshooting call out controls the product actively blocks.
| Control | Scope | Managed from |
|---|---|---|
| Qualification questions | All new NDA signers for company NDA-gated listings | Settings > NDA & Access |
| Property access level | One listing | Listing Hub > Access |
| Company confidentiality agreement | Team-wide document agreement | Team settings |
| Deal Room NDA source and approval | One Deal Room | Deal Room settings |
| Open, inquiry, or email-only visitor | Lighter property gate | Does not show NDA qualification questions |

- Ask an authorized administrator to update the company questions.
Editing is paused.
Likely cause: CREBuilder could not load the latest stored questions safely.
- Select Retry.
- Do not replace the list from an incomplete local view.
Questions do not appear for a visitor.
Likely cause: The listing may use Open, inquiry, or email-only access, or the visitor may already be authorized.
- Confirm the property uses NDA-gated access.
- Test with a new fictional identity in a private browser session.
